1. Information We Collect

OnCrew ("we", "our", or "the Service") collects the following types of information to provide our AI phone agent service:

  • Account Information: Name, email address, company name, phone number, business address, and trade type provided during registration and onboarding.
  • Call Data: Inbound call recordings, transcripts, caller phone numbers, call duration, and AI-generated summaries. Calls are recorded to provide transcription, dispatch, and analytics services.
  • Business Data: Service areas, service offerings, pricing, responder/team information, and workflow configuration details provided to configure your AI agent.
  • Payment Information: Billing details processed securely through Stripe. We do not store credit card numbers on our servers.
  • Usage Data: Dashboard interactions, feature usage, and analytics data to improve our service.

2. How We Use Your Information

  • Provide and operate the AI phone agent service
  • Process, triage, and route emergency and routine service calls
  • Generate call transcripts, summaries, and analytics
  • Process payments and manage subscriptions
  • Send configured service notifications and follow-up messages
  • Route call summaries and appointment requests into configured team workflows
  • Improve our AI models and service quality
  • Communicate service updates and support

3. Data Storage & Security

Your data is stored securely using industry-standard practices:

  • Database: Supabase (PostgreSQL) with encrypted storage and encrypted network transport.
  • Payments: Stripe handles all payment processing with PCI DSS Level 1 compliance.
  • Call Processing: Retell AI processes calls with enterprise-grade security. Recordings are encrypted.
  • Hosting: Vercel with automatic HTTPS, DDoS protection, and edge network security.

4. Data Sharing

We do not sell your data. We share information only with:

  • Service Providers: Supabase (database), Stripe (payments), Retell AI (phone agent), Anthropic (AI processing), and messaging providers, only as necessary to provide the service.
  • Configured Workflows: Data is shared with external systems only when you configure those workflows.
  • Legal Requirements: When required by law, subpoena, or to protect our rights.

5. Call Recording Consent

Our AI phone agent informs callers that the call may be recorded for quality assurance and service delivery. By using OnCrew AI, you acknowledge that inbound calls will be recorded and transcribed as part of the service. You are responsible for compliance with local call recording laws in your jurisdiction.

6. Your Rights

  • Access and download your data at any time from the dashboard
  • Request deletion of your account and associated data
  • Opt out of marketing communications
  • Export call logs, transcripts, and analytics

7. Data Retention

We retain your data for the duration of your active subscription. Upon account cancellation, data is retained for 30 days to allow for reactivation, then permanently deleted. Call recordings are retained for 90 days unless you request earlier deletion.

8. Cookies & Analytics

We use Google Analytics and similar tools to understand how visitors interact with our website. You can opt out of analytics tracking using browser settings or extensions.
